AV8R Academy Pilot Agreement
The following policies must be followed by all AV8R Academy (AV8R) pilots. By signing this agreement, you agree to comply with all the policies listed below. Non-compliance may result in suspension and/or termination of flight privileges with AV8R Academy. Any updates to this agreement will be communicated via email.
INSTRUCTORS
- Only AV8R Academy-employed flight instructors are authorized to provide flight instruction in AV8R Academy aircraft.
- Fees and scheduling are handled through AV8R Academy’s scheduling and billing software.
- Please refer to the scheduling software for available instructors and their schedules.
- Instructor fees start at $70 per hour with a one-hour minimum.
FLIGHT TRAINING
- Reservations are made in three-hour blocks through our scheduling and billing software.
- If scheduling a lesson with less than 24 hours’ notice, students must first confirm with the instructor.
- Students must arrive on time for their lessons. Late arrivals of 15-30 minutes will incur a $25 late fee, while delays exceeding 30 minutes will incur a $70 no-show fee. If a delay is expected, students must contact their instructor promptly.
- A one-hour minimum charge applies for flight instruction.
- Students will be assigned a primary instructor and must schedule lessons with that instructor. Exceptions may be made only with approval from AV8R Academy.
- Only AV8R Academy instructors are authorized to provide flight training in AV8R Academy aircraft.
- AV8R Academy instructors are typically unavailable to instruct in privately owned or non-AV8R Academy aircraft. Please contact AV8R Academy for inquiries.
- For multi-engine training, AV8R Academy staff will be responsible for moving the aircraft. Students are not permitted to move multi-engine aircraft themselves.
AIRCRAFT RESERVATIONS
- A minimum of 4 hours of aircraft usage is charged per 24-hour reservation period.
- A minimum of 2 hours of aircraft usage is charged per overnight reservation.
- Aircraft available for long-haul or overnight reservations include: Beechcraft Sundowner, and Cessna 150.
- Aircraft available for 2-4 hour reservation blocks: Beechcraft Sundowner, Cessna 150. Extended blocks (2+ hours) for these aircraft are available Monday through Saturday after 5:00 PM and anytime on Sundays or holidays when business operations are closed. These are the primary training aircraft, and reservations for checkrides and student training take precedence. The AV8R Academy may cancel or reschedule reservations without prior notice if necessary.
- Multi-engine aircraft are primarily available for training. Time-building with an AV8R Academy multi-engine instructor may be possible, based on availability. Contact the AV8R Academy office for details.
- Reservations may be adjusted or canceled due to aircraft maintenance or training needs, especially for checkride preparations.
- Pilots are responsible for any additional fees (landing, tie-down, etc.) at other airports. AV8R Academy does not reimburse pilots for these costs.
- Cancellations should be made at least 24 hours in advance. Cancellations made less than 24 hours in advance or no-shows will incur a $70 fee.
OFF-SITE ISSUES
- If any maintenance discrepancies arise during a reservation, the pilot must immediately contact AV8R Academy. In the event that it is outside normal business hours, the pilot must attempt to contact AV8R Academy staff (via phone calls, voicemails, text messages, or emails). The pilot should allow a reasonable amount of time for AV8R Academy personnel to respond before securing the aircraft and leaving the location.
- Pilots must not attempt to repair or tamper with any part of the aircraft. All issues should be reported to AV8R Academy personnel for further instructions. Unauthorized repairs will be charged to the pilot’s account at AV8R Academy’s discretion.
- In the event the aircraft is abandoned away from the base airport (due to weather, mechanical issues, etc.), the pilot will be responsible for covering any costs associated with returning the pilot and/or passengers/instructors to the aircraft’s home base. This includes flight time, instructor fees, transportation costs, lodging, and other related expenses. The pilot must also ensure the aircraft is secured properly to avoid damage or theft. The event will be logged, and photographs may be requested for documentation.
- If weather conditions prevent a return flight, pilots are encouraged to rent a car at their own expense.
- “Get-home-itis” (the urge to continue flying in poor conditions) should not influence decision-making. Pilots should never operate an aircraft in conditions beyond their comfort or skill level.
- Pilots are responsible for any damage or fees incurred while flying.
GENERAL POLICIES
- AV8R Academy will reimburse fuel purchases made away from the home base up to $5.00 per gallon. All receipts must be submitted to the AV8R Academy office within 30 days for reimbursement.
- Aircraft should have at least one hour of fuel reserve at the conclusion of each flight.
- Turn off the master switch after every flight. A $75 fee will be charged if the aircraft’s battery needs charging or jump-starting. If the battery is damaged and requires replacement, the pilot will be responsible for the cost, which is approximately $900.
- Clean the aircraft before returning it, including picking up trash, buckling seat belts, and ensuring the bin is properly stored. Failure to clean the aircraft may result in a $25 cleaning fee.
- Pilots are responsible for damages caused by negligence (e.g., incorrect fuel, oil levels, etc.), and the costs will be charged to their account or insurance.
- If an aircraft is abandoned away from base, any repair and return expenses incurred by AV8R Academy will be charged to the pilot.
- Hangar doors must be fully opened for safe aircraft movement. Personnel should assist with wing walking when moving aircraft.
- Only paved and publicly accessible airports may be used for flight operations. Runways must be at least 3000 feet in length.
- For solo flights, wind speeds above 30 knots or a crosswind component exceeding the aircraft’s demonstrated limitations (or 17 knots, whichever is lower) are prohibited. Instructors or the Chief Pilot may authorize exceptions for wind-related concerns.
- Accounts will be deactivated 60 days after the last flight. Inactive accounts must contact the office for reactivation, and may be subject to waiting periods before flight privileges are restored.
- Users may request a withdrawal of funds from their account, subject to a 10% fee, and should expect processing time of up to 30 days. Requests must be made in writing.
DISPATCH AND CHECK-IN PROCEDURE
- All pilots must dispatch and check-in aircraft through the AV8R Academy office. Aircraft keys are stored in designated binders and must be signed out by instructors.
- Each binder includes a checklist for pre-flight inspection and other important information. Ensure these are completed and returned with the aircraft after flight.
- Copies of aircraft documentation (e.g., registration, airworthiness, weight and balance) are also located in each binder. The original documents shall remain in the aircraft.
- A VOR equipment check log is included in each binder and must be completed as necessary.
- After check-in, the pilot must settle any account balances immediately. If no credit balance is available, payment should be made using the credit card on file, cash, or check.
REQUIRED DOCUMENTS
Pilots must upload and keep the following documents up to date in the scheduling and billing software:
- Unexpired government-issued ID (e.g., Driver’s License)
- U.S. Birth Certificate or Passport
- Medical Certificate
- Pilot Certificates
- Profile Picture (taken at AV8R Academy)
- Non-Owner Insurance Policy
- For minors: Parent/Guardian ID
- Unexpired credit card information
- Signed copy of this pilot agreement
INSURANCE
- All pilots must maintain a “non-owner” insurance policy with hull value coverage of at least $50,000. A copy of the policy must be on file with AV8R Academy. (Avemco not accepted)
- Pilots are responsible for any physical damage to the aircraft while operating AV8R Academy aircraft and must file any incidents with their non-owner insurance.
- AV8R Academy must be notified promptly in case of any aircraft accident, even if it does not involve an AV8R Academy aircraft.
- Not all insurance policies are acceptable. Avemco policies are not accepted. Pilots should verify their policy with AV8R Academy before purchase or renewal.
PILOT RESPONSIBILITIES
- Only pilots with an active, approved account may operate AV8R Academy aircraft.
- Pilots must maintain current certifications and flight reviews and may not operate AV8R Academy aircraft if their FAA Medical, Flight Review, or insurance is expired.
- A check-out flight is required every 90 days for all pilots.
- Pilots are responsible for reporting any discrepancies or squawks with the aircraft.
- Pilots must promptly notify AV8R Academy of any changes to contact details or required documents.
- Pilots may not use AV8R Academy aircraft for hire or compensation.
- Pilots should check emails and schedules regularly to stay updated on maintenance or operational changes.
- Pilots must dress appropriately for flights, including wearing closed-toe shoes.
PRIVACY STATEMENT
AV8R Academy utilizes an online scheduling and billing system that collects and processes personal data. AV8R Academy does not share personal information except for necessary internal operations and approved communications.

By signing this agreement, I grant AV8R Academy the irrevocable right to photograph and record me and/or my child(ren) and use those images for promotional purposes,
